Meeting Room Policies
The Ashley County Library has a small meeting room located in the back of the library. The conference table seats 8, but up to 10 may be accommodated. The room has a 65” TV with a MacBook Pro, which can be used to cast information or host meetings.
There is no charge for use of the room, but the ACL may charge for damage to the room. The ACL is not responsible for personal belongings brought to or left in the meeting room or for personal injuries sustained on the premises during the meeting. Young children accompanying adult users of the meeting room shall not be left unattended in the library. Minors are not permitted to use the meeting room without adult supervision.
All groups or individuals utilizing the meeting room will be required to sign an agreement. The individual signing the agreement must be an adult and will be held responsible for the orderly conduct of the group.
Terms of Use

The meeting room is available for public use when the library is open, but must be vacated 15 minutes prior to the scheduled time of closing. (Monday-Friday 5:15.)

Reservations must be made two weeks in advance.

Reservations will be cancelled if registrants have not checked into the room within 15 minutes after the reserved start time.

Cancellation notice must be given at least 48 hours in advance. Failure to give notice may jeopardize future bookings.

The maximum period of time during which a group may schedule a meeting room on a recurring basis is three months, depending on the library planning needs as determined by the Director. To be fair to all, we reserve the right to limit groups to one meeting per month.

Compliance with room capacities and library hours must be observed.

Use of the meeting room must not interfere with the operation of the library. Meetings that would interfere with the work of the library because of noise or other factors will not be permitted.

The meeting room may not be used for private parties, political campaigning, religious services, music rehearsals or practice, or for any commercial endeavors to advertise or sell products or services.

Groups or individuals using the room may not charge admission fees, solicit non-charitable contributions, or take up collections or orders of any kind.

Meeting Room attendees must follow the Library’s Patron Rules for Behavior and the room must be returned to original condition upon the conclusion of any meeting.

The ACL reserves the right to have a member of its staff present at any meeting.

Use of inflammables, such as candles, is prohibited

The usage of tobacco products or consumption of alcoholic beverages is prohibited on library property.

No glitter or confetti is allowed.

Light food such as box or sack lunches and prepared trays and beverages may be served.

Users must provide all supplies such as paper products, markers, or paper goods.

Publicity materials in any format may not list the library contact information or use the library logo.

Publicity materials, if mentioning the library name or address for purposes of indicating the location, must include the statement “This event is not sponsored by the Ashley County Library.”
